Setup & Devices

These guides come from a live registry — the same one the Ask AI assistant answers from, so they stay current as capabilities ship. Anything marked Roadmap tells you what to use today and what changes when the upgrade lands. Ask the AI assistant "How do I set up my devices?" any time for the latest.
Barcode Scanner
Available today Self-service

USB/Bluetooth keyboard-wedge scanners and phone cameras both work today.

  1. USB or Bluetooth scanner: pair it with the till device — it types like a keyboard (keyboard-wedge), no driver or app setting needed.
  2. On the POS Terminal, click into the item search box and scan: the SKU types itself and the pick-list matches it; press Enter to add.
  3. Phone or tablet camera: open Inventory → Barcode Scanner and allow camera access; scans look up the item master directly.
  4. Make sure each item's SKU field matches the printed barcode (Inventory → Item Master → edit item).
Troubleshooting
  • Scanner types nothing: test in any text field; if silent, re-pair the device (it is a keyboard to the OS).
  • Scan finds no item: the SKU on the item record differs from the barcode — fix the SKU, not the barcode.
  • Camera scanner black screen: the browser needs HTTPS and camera permission (padlock icon → Site settings → Camera → Allow).
Receipt Printer (80mm thermal)
Available today Self-service

Printing is browser-based today: the receipt renders as an 80mm thermal layout and prints through the till's printer.

  1. Install the printer with its OS driver (Windows/macOS/Android print service) and print a test page outside the app first.
  2. After a sale, the Sale Complete screen offers Print — it opens the 80mm receipt view and the print dialog automatically.
  3. In the print dialog choose the thermal printer, paper width 80mm, margins None, scale 100%; save these as the till default.
  4. Any past receipt reprints from POS → Sales History → Receipt.
Troubleshooting
  • Receipt prints tiny or centred on A4: the wrong printer or paper size is selected — pick the 80mm device and set margins to None.
  • Nothing prints: print any web page from the same browser; if that fails it is an OS/driver issue, not the app.
Card Payment Terminal
Roadmap Self-service

Today: take the card on your standalone bank terminal and record the tender as Card — the ledger clears it through Undeposited Funds until the processor settles. Integrated terminal pairing (Stripe Terminal) is on the roadmap for after go-live.

  1. Charge the card on your bank/processor terminal as you do today.
  2. On the POS Terminal choose Card as the tender: the sale posts with the receipt total debited to Undeposited Funds (a clearing account), never straight to the bank.
  3. When the processor pays out, record the deposit in Banking and clear Undeposited Funds against the bank line during reconciliation — fees post as an expense line there.
Troubleshooting
  • Undeposited Funds keeps growing: settlements have not been recorded — reconcile the bank account and clear the batch.
Cash Drawer
Available today Self-service

Drawer control is session-based: open with a counted float, close with a count — variances post to the ledger automatically.

  1. POS → Dashboard → Open Session: count the float and enter it as Opening Cash.
  2. Sell normally; every cash tender and cash refund updates the expected drawer figure.
  3. At shift end: count the drawer and enter the total in Counted Cash → Close Session. Any over/short posts to the Ecarts de caisse / Cash Over and Short account with reference Z-<session>.
  4. The Z-Report (per session, from Recent Sessions) is the shift's audit document: per-tender totals, tax, drawer reconciliation.
Troubleshooting
  • Close refused for a missing account: run Settings → Chart of Accounts → Load SYSCOHADA Chart (or set the Cash Over/Short default) — the close never posts a variance blind.
  • Electric drawer kick (printer-driven pop) is roadmap alongside integrated card terminals.
Bank Accounts & Feeds
Available today Self-service

Accounts, statement import and reconciliation work today; automatic bank feeds (aggregator) are on the roadmap.

  1. Banking → Bank Accounts → New Account: name, bank, type, last-4 and opening balance — the GL account links automatically.
  2. Import statements: download CSV/OFX from your bank and use the bank import (AI Fill maps the columns; review the staging grid before committing).
  3. Reconcile monthly: Banking → Reconciliation — match imported lines to book entries; the difference must reach zero before closing the period.
Troubleshooting
  • Import mis-mapped columns: fix the mapping in the preview grid before commit — never after.
  • Reconciliation never zeroes: look for missing bank charges or un-recorded deposits; the monitor lists candidates.
SMS Receipts & Notifications
Available today Self-service

Text receipts are LIVE (the A2P 10DLC carrier campaign is approved): the Sale Complete screen texts the customer an unguessable receipt link — no app or login needed on their side.

  1. After a sale, click Text on the Sale Complete screen, enter the customer's mobile number in international format (e.g. +2250701234567) and Send.
  2. The customer receives the store name, receipt number, total and a private link that opens the full receipt in their browser.
  3. Email Receipt remains available beside it; both channels render the same receipt so they can never differ.
  4. Sends count against the plan's monthly SMS allowance and are recorded in the Communication Log.
Troubleshooting
  • Message not delivered: confirm the number is in international format with country code; check the Communication Log for the carrier error.
  • Allowance reached: the send is refused with a plan message — upgrade the plan or wait for the monthly reset.
